Privacy Policy

Ted5 ("we", "us", "our") is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what personal information we collect, why, and how we use and protect it.

1. Who we are

Ted5 is an AI-powered Virtual CTO service for Australian small and medium businesses, operated from Perth, Western Australia.

2. What data we collect

We collect the following personal information when you use Ted5:

  • Name and email address — provided when you request your Tech Health Check report.
  • Business name — provided during the Health Check.
  • Health Check answers — your responses to our 15-question technology assessment.
  • Assessment scores and report data — generated by our AI based on your answers.
  • Email engagement data — whether you opened or clicked links in emails we send (via our email provider, Resend).
  • Technical metadata — IP address, browser type, and page visit timestamps (via Vercel's infrastructure logs, retained per Vercel's policy).

We do not collect payment information directly — payments are processed by Stripe or other third-party payment providers under their own privacy policies.

3. How we use your information

  • Service delivery — to generate and email your Tech Health Check report.
  • Follow-up communications — to send tips, recommendations, and service information where you have opted in (see Section 6).
  • Product improvement — to analyse aggregated (non-identifiable) patterns in assessment data to improve our service.
  • Legal compliance — to maintain records required under Australian law, including the Spam Act 2003.
  • Customer support — to respond to enquiries and resolve issues.

4. AI processing disclosure

Your Health Check answers are processed by Claude (by Anthropic), a large language model AI. This is how Ted5 generates your personalised report.

  • Your data is sent to Anthropic's API for processing and is not used to train AI models.
  • Anthropic's data processing is governed by their Privacy Policy.
  • We do not share your personal details with Anthropic beyond what is contained in your Health Check answers. We recommend you do not include sensitive personal data (e.g. passwords, financial account numbers) in your responses.

5. How your data is stored

  • Database — your lead information and report data is stored in Supabase (PostgreSQL), hosted on AWS infrastructure. Supabase uses encryption at rest and in transit.
  • Email — emails are sent via Resend. Resend stores minimal email metadata in accordance with their privacy policy.
  • Website — ted5.com.au is hosted on Vercel, which is SOC 2 Type II certified.
  • Location — data may be stored on servers in the United States (AWS/Vercel infrastructure). Where data is transferred internationally, we ensure adequate protections are in place consistent with Australian Privacy Principle 8.

6. Marketing emails and consent

Under the Spam Act 2003 (Cth), we only send commercial electronic messages where you have provided express consent.

  • Transactional emails (e.g. your Health Check report) are sent as part of service delivery and do not require separate marketing consent.
  • Marketing emails (tips, case studies, service offers) are only sent if you tick the opt-in checkbox when requesting your report.

You can unsubscribe at any time by clicking the Unsubscribe link in any marketing email, or by contacting us at info@ted5.com.au. Unsubscribe requests are processed immediately (and no later than 5 business days, as required by law).

7. Data retention

We retain personal data only as long as necessary for the purpose it was collected, or as required by law:

8. Your rights

Under the Privacy Act 1988, you have the right to:

  • Access — request a copy of the personal information we hold about you.
  • Correction — ask us to correct inaccurate or out-of-date information.
  • Deletion — request erasure of your personal data (subject to our legal retention obligations).
  • Unsubscribe — opt out of marketing emails at any time.

To exercise any of these rights, email us at info@ted5.com.au with your name, email address, and what you are requesting. We will respond within 30 days.

9. How to request deletion

To delete all personal data Ted5 holds about you, use the self-service link below or contact us by email.

Self-service deletion: Click the Unsubscribe link in any email we have sent you — that link contains a secure token. On the unsubscribe page, there is also a "Delete all my data" option that processes the request immediately.

  1. Email info@ted5.com.au with the subject line "Data Deletion Request".
  2. Include the email address and business name you used when completing the Health Check.
  3. We will confirm deletion within 30 days. Note: suppression list entries are retained to prevent future contact.

10. Cookies and tracking

Ted5 does not use advertising cookies or third-party tracking pixels. Our website uses only essential technical cookies required for the service to function (e.g. session state). No personal data is sold to or shared with advertising networks.

If you have a complaint about how we handle your personal information, please contact us first at info@ted5.com.au. We will acknowledge your complaint within 5 business days and work to resolve it within 30 days.
